TERMS AND CONDITIONS |

- Any reference to "couple", "you" or
"customer" includes bride, groom, family members,
friends or any person accessing and using this web site
to reserve any service offered by Florida Wedding Services,
LLC. Any reference to "us", "we", "our",
"FWS" and Florida Wedding Services includes Florida
Wedding Services, LLC, its subcontractors, affiliates and
suppliers.
- Regular priced packages: A Nonrefundable Deposit
is required to reserve our services or a package. The balance
(total minus deposit) is due ONE MONTH prior your ceremony
date. If you are reserving for a ceremony ONE MONTH or LESS
away, you must pay in full at the time of the reservation
in order to hold your date. If you are reserving a special
offer, please read the special offer's terms and conditions
for details of payment required.
- Our prices and packages' content are subject to change
anytime without notice. Couples that reserve NOW are subject
to CURRENT package descriptions and CURRENT prices regardless
of what was quoted or offered before today - no exceptions.
After you reserve and pay your deposit, future changes DO
NOT affect you.
- You are required to read our website's "FAQ's"
web page before submitting this contract to ensure our services
fit your needs before you reserve. If you haven't read this
page yet, go to www.floridaweddingservices.com/faq.htm
to read before you sign a service agreement with us.
- Postponements:
- You may postpone your event only once for a later
date as long as your date is more than 60 calendar days
away - subject to OUR calendar availability. Your new
date MUST be available at the time of your postponement.
- If you postpone your event more than 60 calendar days
away from your event date for any reason, you can apply
your deposit, minus location and vendor's penalty fees
if applicable, towards a future ceremony date no more
than 6 months away from your original ceremony date.
New dates are subject to availability. If your selected
NEW date is not available your must select an available
date or you may cancel your reservations and our cancellation
policy applies.
- If you requested a Florida Marriage License by Mail
service and your licensed has been already issued by
the County for your original wedding date, you will
need to pay for a second license and service fee to
obtain a new one. License valid dates cannot be changed.
- If you reserved a package which includes a paid location,
you may loose those fees subject to the location cancellation/postponement
rules.
- Special offers cannot be postponed for a later
date
- Changes - You may change your reservation only once.
Any changes to your reservation (date, location, package,
etc.) might be subject to new fees or additional deposits
and are subject to OUR calendar availability.
- Cancellation Policy:
- Deposits are NOT refundable and are NOT transferable
under ANY circumstances - no exceptions - if you cancel
your reservation you do not get your deposit back.
- If you paid in full and cancel your reservation more
than 60 calendar days away from your ceremony date,
all monies will be refunded except for the nonrefundable
deposit and any location fees or penalties if applicable
- If you cancel your beach ceremony 60 days or less
from your event day no refunds will be given under any
circumstances.
- Florida Marriage License by Mail Service fees is NOT
refundable under any circumstances.
- Only what's listed under each package description is
what's included. Do NOT make assumptions. If you have questions,
please ask before you reserve. You will receive a final
confirmation via e-mail within 14 days after a signed agreement
and applicable payment is received with a summary of what's
included with your reservation. From time to time, we revise
our services and packages to accommodate new demands. These
changes DO NOT affect current reservations. Your package
and service agreement stays as contracted unless you request
a change or upgrade in writing.
- Packages with Decorations include the setup ad ONE location
ONLY. Changes to the setup location must be notified and
agreed to BEFORE our team arrives and starts unloading decorations
or chairs AND it might not be possible if we have other
events scheduled at the same/original location before or
after your event.
- Officiant: We cannot guarantee a specific Officiant gender
or religious affiliation. There is a possibility that your
assigned Officiant will be a Female and/or Civil Notary.
If this is not acceptable for you, please do NOT reserve
our services or bring your own Officiant.
- PHOTOGRAPHY & VIDEOGRAPHY AGREEMENT:
- Only what is listed on your contract is what's included
with your package. Photography and videography are sold
separate unless is listed as included under a package
description. Packages with photography only included
DO NOT include videography; those are TWO different
services!
- It is understood that FWS is the exclusive photographer
and/or videographer for your event (if you paid extra
for videography). You are not to assign or hire a second
professional during our contracted time. Any person(s)
with professional equipment will be asked to put the
equipment away. We reserve the right to end our photography
services immediately and no refunds will be given if
any camera holders refuse to follow our requests.
- You will always receive photographer's choice of
what he/she considers the best pictures. We cannot guarantee
your package will include a specific photo/shot taken
although we always try to provide you with as many photos
as possible.
- Our regular priced packages include an unlimited
number of pictures. However, we cannot guarantee that
we will be able to supply a specific amount of photos
as we depend on other external factors including a timely
start, weather conditions, guests/people interruptions,
etc.
- Photo AND video materials if applicable will be sent
via regular US mail no later than 2 months after your
event. Please allow an additional 2 weeks for delivery.
Out of US residents - allow an extra week or two for
delivery.
- Photography and videography work is sold "as
is". There are no refunds or partial refunds if
you are not satisfied with your photos and/or video.
Although we strive for high quality work, due to elements
out of our control, such as weather, guests' cooperation,
natural lighting, etc., it is not always possible.
- In the unlikely event of equipment malfunction or
any other situation that will prevent us from delivering
NO photos and/or NO video footage at all, our liability
and compensation is limited to a refund of monies paid
for the photography and videography portion of your
agreement only. If you booked a special offer where
either the photography or videography was advertised
as FREE, NO compensation should be expected at all.
- Our staff WILL NOT operate other people's electronic
equipment including but not limited to cameras, radios,
video cameras, etc.; Please be respectful to our staff
and don't ask
- Photography or videography taken by Florida Wedding
Services, its employees and subcontractors becomes property
of Florida Wedding Services and can be used to our discretion
for Marketing and Promotion purposes, under the appropriate
laws and regulations.
- Customers that purchase a Master CD are licensed
to make unlimited print reproductions for noncommercial
purposes only; however, they are NOT authorized to make
extra copies of the CD. Additional CD or DVD copies
must be purchased through Florida Wedding Services.
If a friend or family member wants a CD, he/she must
purchase one from us.
- DURING THE CEREMONY: Family and friends are welcome
to use their nonprofessional cameras in a discrete and
respectful way without getting into our photographer's
way.
- AFTER THE CEREMONY: it is understood that you will
NOT pose for family and/or guests cameras until our
photography work is completed to ensure that we will
be able to perform our services in a timely manner.
When our contracted services are completed, you are
welcome to pose as you please!
- PHOTOGRAPHY FLOW (Applies to regular priced packages
only):
- Photography included with our packages is CEREMONY
PHOTOGRAPHY. The photographer will start taking
pictures when the ceremony begins until the ceremony
ends. It DOES NOT include reception coverage or
a second location.
- If weather conditions AND time permits, we will
take group, family, bridal party and couple-only
posed pictures at the ceremony location immediately
after the ceremony is over.
- In the event that we take the couple away from
the attendees for a couple-only photo
shoot; we request NO followers and NO other cameras
please.
- Please be aware that most outdoor locations we service
are open to the public and are not private venues. There
are NO private beaches in Florida. We cannot guarantee
the availability of public parking, handicap access or
the state of the beaches (i.e. crowds, tides, seaweed,
etc) and there is a high probability that people will
be around your ceremony site as well as your pictures.
DO NOT request or expect for us to ask strangers or bystanders
to "move" out of your site. They have the same
right to be there. Most people are respectful and will
move away if they notice they are interfering but we will
not make such requests.
- LATE START: Your ceremony has been given a specific
start time. We might have other events scheduled after
yours. Regardless if we have another event schedule or
not, a late fee will be charged for any ceremony that
does not start on time unless the delay was caused by
an actual emergency or unforeseen situations subject to
FWS discretion. Traffic congestion or not knowing where
you are going is NOT an acceptable excuse. If you are
not familiar with the ceremony location, visit the site
ahead of time and give yourself additional driving time
in case of traffic congestion.
- Late fees schedule: 15 minutes late will be assessed
a $100.00 fee; 30 minutes $200.00 and any ceremony that
has not begun within 30 minutes after the scheduled
time may be cancel with no refund.
- LATE FEES ARE DUE IN CASH BEFORE THE CEREMONY STARTS.
WE RESERVE THE RIGHT TO CANCEL OUR SERVICE AGREEMENT
IF LATE PAYMENT IS NOT RECEIVED BEFORE THE CEREMONY
STARTS.
- ACTS OF NATURE:
- Florida Wedding Services, LLC reserves the right
to postpone or cancel your ceremony in the event that
a Tropical Storm or Hurricane Watch OR Warning is
placed anywhere in the State of Florida and/or if
we feel that weather conditions are potentially hazardous
for our team and for YOU and YOUR guests.
- There are NO REFUNDS and we are NOT liable for expenses,
damages and money lost due to Inclement weather, (hurricanes,
tornados, high winds, etc.) area evacuation, emergencies,
duty or other calamity that may result in cancellation/
postponement of the event. We highly recommend you
purchase wedding
insurance as an inexpensive alternative to recover
your investment in case of permanent cancellation
due to unavoidable events.
- Rain and weather policy for outdoor ceremonies:
- FWS does not have an indoor location available for
your event. It is YOUR responsibility to arrange a
back-up location within 5 miles from the ceremony
location so that we can provide our services as scheduled
in case of inclement weather. Suggestions include
your home, hotel, and restaurant or reception location.
- Backup locations can be used BEFORE we begin the
ceremony; not after. If it rains during the ceremony,
we will attempt to complete our services at the location
as long as it safe to continue and our electronic
equipment are not subject to major damages.
- Couples that reserve a beach package with decorations:
We will NOT move decorations or chairs from the beach
to a second location; no exceptions. If you have any
doubts about the weather and do not want to get wet,
then is best if we are notified at least 4 hours advanced
notice to setup your decorations at backup location
instead. Otherwise, you must be wiling to get married
on the beach regardless of weather conditions.
- We will NOT service your event under unsafe weather
conditions and NO refunds or Postponements apply.
Please, make sure you make wise decisions.
- We reserve the right to refuse setting up decorations
if we consider weather conditions to be a hazard for
our team and your attendees.
- We do not setup arches or decorations when wind
gusts exceed 20 miles per hour.
- We do NOT provide partial discounts for services
or items that cannot be used due to weather conditions.
- Additional Fees
- Holidays: There is an added fee of $400.00 for services
rendered during major US Holidays. Contact us for
a list of dates before you sign this agreement.
- BEACH FEES: As of today, all the beaches that we
go to do not require a permit fee for small gatherings
with less than 50 people total - including our 3 people
crew, however, that can be subject to change anytime
at the County or City's discretion, therefore, couples
are responsible for applicable beach permit fees even
if their rules change after you reserved.
- Private parking or hotel parking charges are not
included with our services and must be paid before
the ceremony starts. If there is a parking fee and
you want us to perform the ceremony there, complimentary
parking spaces must be arranged for our team.
- ATTENDANCE LIMITS: Some packages and services have
an attendance limit. If your actual attendance exceeds
your attendance limit, additional fees may apply and will
need to be paid for in before your event begins in CASH.
We are NOT responsible and there are NO refunds issues
if a paid location denies access to their facilities because
you exceeded the maximum attendance limit.
- Beach Location Requests:
- If you wish to have your ceremony behind your hotel,
resort, leased property or at a specific beach location
and requested decorations and/or chairs or are having
more than 20 people attend your event, you must obtain
written authorization from the owners/management and
the City or County if applicable. We must receive
your written authorization no later than ONE month
before your event. We also need a contact name and
phone number to verify the validity of these.
- If you request we go to your location, our team
must be provided with paid parking space at your location.
Street or metered parking is NOT acceptable.
- In order to setup decorations on the beach, we need
immediate access to the beach AND a handicap ramp
straight from the parking lot - NO STAIRS PLEASE!
- Walking on the sand is very difficult as it is -
we do not carry our equipment, decorations or chairs
more than 150 feet over sand areas - no exceptions!
- We will not drive on the beach whether is allowed
or not
" We are NOT responsible for locations that DO
NOT agree the use of their beach access for your event
and no refunds will be given if a cancellation or
postponement is done due to location problems.
- Pinellas County Locations (Includes Fort Desoto
and Sand Key Park): FWS must submit a permit request
for all special events no later than 2 months before
your event date. FWS is NOT responsible if the County/City/Park
denies our request and refuses to issue a Permit.
In the event that a permit request is denied, the
couple will be given the opportunity to change their
ceremony location.
- We are NOT responsible if the State, City or County
your are planning to have your beach ceremony at change
their rules, permit fees, policies or operating hours
and couples must be willing to make necessary last
minute changes to comply if required by the local
authorities.
- Rehearsals requests: Rehearsals are NOT included with
any package but might be available for an additional fee.
They are subject to our calendar availability depending
on our actual wedding schedule.
- Our packages do NOT include a coordinator or ceremony
or Director on-site. If you are planning a processional,
we highly recommend you reserve the services of a Ceremony
Director and/or book a rehearsal if available in your
area. You may also assign a family/friend to assist if
necessary.
- Meetings requests: Personal/face to face meetings and
/or consultations is NOT included with any package or
services. We do not meet until the scheduled ceremony
date and time at the assigned ceremony location and all
arrangements are done over the phone and e-mail.
- Balances - We reserve the right to hold pending work
including photography if there is a balance due including
additional fees (late fees, travel fees, exceeded attendance,
etc.) until payment is received.
- NO silk rose petals or confetti! You may use FRESH
rose petals on the beach (NOT allowed at park or garden
locations). Other locations you may use bubbles instead.
- NO ALCOHOL!
- NO FIREWORKS ON THE BEACH OR PUBLIC LOCATIONS! (STATE
LAW!).
- NO DRINKS (EXCEPT FOR WATER), NO FOOD AND NO SMOKING
WITHIN 25 FEET FROM OUR DECORATIONS & CHAIRS! If you
or your guests burn or stain our fabrics, YOU are responsible
for the cost of replacing those!
- NO GLASS CONTAINERS including beverages, cups, etc.
- NO PETS without prior arrangements with FWS.
- We reserve the right to substitute decorations if necessary
anytime without notice and no refunds should be expected
in the event of any changes. Although we intend to deliver
all packages as contracted, situations out of our control
including but not limited to changes of supplier's products/offerings,
safety hazards, etc. may dictate the outcome of your decorations/package.
- FWS Property Damage Liability: The bride and groom
assume full liability for any property damage done to
our equipment by themselves, their attendants and/or guests
before, during or after the ceremony, and agree to reimburse
property owner for such damage.
- Personal Liability: The bride and groom releases Florida
Wedding Services and its owners, contractors and employees
and assume full liability for any personal damages done
to themselves, third-party vendors or any guests before,
during or after the ceremony.
- Florida Wedding Services reserves the right to terminate
this agreement anytime for any reason. If Florida Wedding
Services, LLC decides to terminate this agreement without
the customer's initial request, FWS liability is limited
to a full refund of service fees already received from
the customer. There are NO refunds and NO compensation
if the couple decides to void this agreement. Approved
refunds are always sent no later than 30 days after the
cancellation date.
- Florida Wedding Services reserves the right to sell
or transfer this contract to another wedding vendor anytime
for any reason
- FREE offers - from time to time, Florida Wedding Services
might promote a FREE service or item for its customers.
Florida Wedding Services is neither responsible nor liable
and will NOT issue any kind of monetary compensation if
we are not able to provide you with the FREE gift for
any reason.
- Legal Questions - We are not licensed attorneys, therefore,
cannot provide information about the legality of your
Florida Marriage in the State or Country you reside. If
you have any legal questions about getting married in
Florida, please contact your local Clerk's office, Courthouse
or seek legal advice through a licensed attorney. The
information on this web site about Marriage License is
taken from Florida's Clerk of the Courts web sites and
might not be accurate or might have changed since the
time we collected the information.
- We do NOT accept payments from third-parties; only
the bride and groom - no exceptions.
- We will NOT negotiate, respond to, make arrangements
with or accept payments from person(s) that did not READ
AND AGREE to the terms and conditions stated above; no
exceptions.
- This agreement cannot be changed or modified without
Florida Wedding Services written consent.
- As with any outdoor event, we highly recommend you purchase
wedding insurance as well as Travel Insurance if you do
not live in Florida. With less than $200.00 you may recuperate
thousands of dollars in the event of a cancellation. Although
FWS does not endorse or recommend any specific Company,
we are aware of www.WedSafe.com as a popular option.
- When you submit your deposit payment, it is understood
you have read our website and our Terms and Conditions
entireley, you understood what was written and you AGREE
to to our service Terms and Conditions.
